Insourcing vs. Outsourcing – your corporate events? That is the question.

In today’s competitive and economically constrained environment, many large corporations face a pressing strategic question: should they insource their live create events, digital videos, and animations by building and maintaining internal teams, or should they outsource these services to specialized external agencies?

Both options have their merits and pitfalls, but understanding industry insights and current trends can help guide the decision.

The traditional case for insourcing

Insourcing involves establishing an internal team responsible for creating and managing live events, videos, and animations. Traditionally, proponents argue that it provides greater control, faster turnaround, and consistency. Having an in-house team allows for tight alignment with corporate culture and messaging, and some believe it facilitates smoother communication among departments.

However, multiple industry studies highlight significant drawbacks. According to a 2024 report by the Content Marketing Institute, only about 35% of companies maintain large, dedicated in-house creative teams for event production and video content, primarily because the costs are substantial.

Building such a team involves ongoing expenses: salaries, benefits, training, equipment and regular capital expenditure, ongoing  maintenance, software licenses, and of course, properly equipped professional spaces. Additionally, insourced teams often lack the diversity of expertise and fresh perspectives that external agencies offer.

A key insight from Harvard Business Review (HBR) underscores this: “Internal teams tend to develop tunnel vision, leading to creative stagnation, especially when there’s little external input.” This can limit innovation and result in campaigns that feel stale or repetitive.

Another challenge is flexibility—insourcing can hinder a company's ability to rapidly scale resources up or down based on project needs, potentially leading to underutilized or overextended teams.

The benefits of outsourcing

In contrast, outsourcing provides access to a diverse pool of talent, often spread across different geographies and specializations. According to a 2024 McKinsey & Company report on agile resource management, organizations that partner with external creative agencies are twice as likely to report faster project delivery and higher levels of innovation.

External agencies bring fresh ideas, industry-leading technology, and award-winning creative talent to the table. They tend to work with a range of clients across sectors, which fuels cross-pollination of innovative concepts. This diversity of experience ensures that content remains engaging, relevant, and aligned with the latest trends.

A 2023 Statista survey found that over 65% of Fortune 500 companies outsource certain aspects of live event production or creative content, citing flexibility and better cost management as primary reasons.

Outsourcing enables companies to scale their creative capacity up or down as needed—an essential feature given the variable schedules of corporate campaigns. During peak periods, companies can ramp up resources without the long-term commitment or overhead costs associated with an internal team.

Furthermore, outsourcing shifts the burden of managing equipment, staffing, and technology to the agency, freeing internal resources for strategic initiatives.

It also mitigates risks—such as project delays or quality issues—by leveraging specialized expertise and the latest workflows.

Economic realities and some misconceptions

Many organizations operate under the misconception that insourcing is inherently cheaper, especially during economic downturns.

However, industry insights challenge this view. According to a Forrester Research analysis, over 60% of companies that tried to insource large-scale creative projects experienced cost overruns and delays, primarily due to underestimating hidden costs like training, equipment maintenance, and management overhead.

The same report emphasizes that “flexible, on-demand external partnerships reduce fixed costs and improve innovation cycles,” enabling businesses to maintain agility without sacrificing quality or creativity. In a rapidly changing marketplace, being able to pivot and adapt quickly can outweigh the perceived cost savings of insourcing.

When insourcing makes sense

Insourcing remains appropriate in some specific  contexts—such as maintaining a small, consistent in-house AV team, or managing sensitive content that requires strict confidentiality. For example, a company may need a dedicated interview studio or internal AV technical personnel, which makes sense for core operations.

Conclusion: The right balance and the better bet

Ultimately, the decision depends on your company’s specific needs, resources, and strategic objectives. If you require a small, ongoing technical team, insourcing might be suitable. But for broader, more dynamic assets—like large-scale live events, innovative video campaigns, animation and constantly fresh creativity —outsourcing offers significant advantages.

Industry research and expert opinion increasingly favor external partnerships for their flexibility, cost efficiencies, innovative potential, and ability to scale project resources based on fluctuating demands.

As Harvard Business Review puts it, “In a digital landscape that demands rapid innovation, firms that harness external expertise gain a competitive edge.”

In an era where every corporate calendar is unique, and the need for fresh ideas is constant, outsourcing provides a strategic advantage. It opens access to award-winning, specialized talents and cutting-edge tools without long-term commitments or heavy overheads. Companies can respond faster to market changes, launch short turn around campaigns, scale up and down, and even win industry awards themselves.
